Dedicated to Bringing Belizeans Together

April, 2009

Dear Vendor,

We are providing all vendors who have previously participated in the Belize Day in the Park with an application. This year the Belize Day in the Park will be held on Sunday, August 2nd, 2009 and we hope you plan to attend as a vendor again.

Each year, we evaluate the success of our event and focus on the areas that we need to show improvement. The continuous sale of alcoholic beverages by some of our vendors presented a huge challenge for us and can potentially jeopardize the future of the event. You should have received our earlier correspondence which outlines our strict policy enforcing the ban on sale of alcohol at our event.(See below) This is a park district policy and it will be strictly enforced. If you have questions about the alcohol ban, please feel free to contact us prior to submitting your application.

There are no changes to the pricing structure for this year's event. All vendors will be allocated space based on their need as outlined in their completed application. Please be sure to review the application and pick your spacing needs based on the equipment you plan to utilize at the event. Failure to plan your spacing needs appropriately can jeopardize the space allocated for you.

All food vendors are required to submit a $100.00 refundable deposit to insure adequate clean up of their booth space. Please be advise that your deposit will not be returned if your booth space is not clean and meet inspection at the conclusion of the event.

Some vendors continue to utilize tents with tie-down which presents a serious safety risk particularly after dark. Because of this issue, we will continue to prohibit the use of tents with tie-down. If you plan on participating and have questions about what type of tent that is acceptable, please be sure to contact us before you return your completed application.

The number system that was instituted for all food vendors continues to be helpful with organizing and structuring things. We will continue to utilize this system since it has been a great success. All food vendors will be issued a number based on receipt of your completed application. If your location is of great importance to you, please be sure to return your application promptly.

Deadline for return of this year's application is June 15th, 2009. Prompt return of your application will allow us to adequately plan for your participation. Applications received after the June 15th, 2009 deadline will incur a $25.00 late charge. This $25.00 late charge will be enforced without exception. Personal checks will only be accepted before the June 15th, 2009 deadline. All payments received after the June 15th must be made in the form of cash or money order and should include the $25.00 late fee.

Please return your completed application with the appropriate fee, proof of licensure and participation in sanitation class (food vendors only) to reserve your space. Licensure and sanitation certificates must be returned with your application for submission to the Chicago Park District. You can visit our website at www.chicagobelizedayinthepark.org and follow the link or call (312)553-5802/5803/5807 for sanitation class information. If you have any questions, please do not hesitate to call Sylvia Manderson at (773)881-0412 or Phyllis at (708)805-0858.

Thank you for your continued support and we are looking forward to seeing you at this year's festival.

Sincerely,

Phyllis V. Hughes
President, Belize Day in the Park Committee

Letter sent to vendors regarding the sale of alcohol

March 18th, 2009

Dear Vendors,

As part of our 2009 festival planning, we are notifying all vendors who participated in last year's festival about our strict policy regarding the sale of alcohol.

We experienced many difficulties from the Chicago Park District following the 2008 festival because of the sale of alcohol on park district property. The Belize Day in the Park Committee does not hold a liquor license for this event and all vendors signed a waiver stating that they will not sell alcohol.

We are strictly enforcing this policy this year and will not accept applications from any individual who we believe will violate this policy. In addition, if we accept your application we will reserve the right to search your property. If alcohol is found in your possession, we will not allow you to participate in the event and will be immediately removed from the area. Your booth rental fee will be forfeited and you will also be banned from participation in all future Belize Day in the Park.

If you have any questions, please feel free to give us a call before deciding on your participation for this year. Thank you for your cooperation.

Sincerely,

Phyllis V. Hughes
President, Belize Day in the Park Committee
